Q: I bought a new computer and used PC Mover to transfer my various files. It appears some of my Outlook items made it, but some did not. Any suggestions as to how to locate my emails/ folders that didn’t show up on the new computer?

A: There are a few places to look for your missing email and folders, depending on how you have Microsoft Outlook configured.

If you have Outlook configured to access your email using IMAP, then you should see most of your email on the new computer once you configure the new version of Outlook; it will just connect to your mail server and download any of your messages and mail folders that are housed on that server.

What you may not see, however, are your contacts and any messages that were put in folders that say This Computer Only. To get those messages and those contacts moved to the new computer, you will need to export them to a PST file and then move it to the new computer and import them.

On the other hand, if you have Outlook configured for POP, then is likely your email has been downloaded to your computer and probably removed from the server.

When Outlook is configured for POP, the messages and contacts are saved to a PST file that should be in your Documents folder in a subfolder called Outlook Files. To view the contents of this file you simply need to copy it to your new PC and then open Outlook and connect it to the PST archive by clicking on File, then Open and Export and then select Open Outlook Data File.

From here just browse to the location of your PST file and select it. This will show you the contents of the PST in a mailbox in right-hand column of Outlook.

By default, Outlook saves PST files in a folder called Outlook Files under the Documents folder, so I recommend placing your PST files there for easy access.

Keep in mind that this PST file will likely just be an archive of your email as it was on the old computer. If you setup Outlook on the new PC it will create a new PST file where it will store message your receive after setting up the new PC.

This isn’t necessarily a bad thing as PST files have files size limits and if they become to large they can become unusable or corrupted. I tend to archive my email into PST files I create for each year.

There’s a lot to be said for using a Web based email system like Gmail, Yahoo or even Hotmail/Outlook.com as it makes email on a new PC very simple.
